Special Educational Needs, Accessibility and Reasonable Adjustments Policy (Online Learning)

1. Purpose

The Global Institute of People LLC (GIP) is committed to providing an inclusive, accessible, and supportive online learning environment that enables all learners to participate fully in our digital training programmes. We recognise that learners may have disabilities, neurodiverse profiles, medical conditions, or additional learning needs that could affect their online learning experience.

As an online training provider, we will make reasonable adjustments, where practicable, to improve access to our digital learning platform, course materials, assessments, and learner support while maintaining the integrity and academic standards of our programmes.

2. Scope

This policy applies to:

All learners enrolled in GIP online training programmes.
Self-paced and instructor-led online courses.
Virtual classrooms and webinars.
Digital learning resources.
Online assessments and examinations.
Trainers, assessors, and support staff involved in online programme delivery.

4. Reasonable Adjustments for Online Learning

4.2 Hearing Impairments

Live captions during virtual training sessions where supported by the delivery platform.

4.3 Visual Impairments

Where appropriate, GIP may provide:

Accessible PDF and Word learning materials.
Adjustable digital presentation slides.
Alternative text descriptions for key instructional images where appropriate.

4.4 Language and Cognitive Support

To support learners whose first language is not English or who require additional learning support, GIP may provide:

Plain English guidance.
Technical terminology glossaries.
Modular learning content presented in manageable sections.
Additional written explanations where appropriate.
Regular knowledge checks throughout online learning modules.

5. Online Assessment Adjustments

Where appropriate and without compromising the integrity of the assessment, GIP may consider reasonable adjustments such as:

Additional time for online assessments.
Alternative submission formats where suitable.
Extended access periods for assessment completion where appropriate.
Compatibility with approved accessibility software and assistive technologies.

All assessment adjustments will be reviewed individually to ensure that learning outcomes and assessment standards remain unchanged.

6. Requesting Support

Learners are encouraged to notify GIP of any accessibility or additional learning requirements as early as possible.

Support requests may be submitted through:

During Registration
A confidential section within the online registration or enrolment form allows learners to disclose any accessibility or additional learning requirements.
Before the Course Begins
Learners may contact the Learner Support Team by email before the programme starts to discuss reasonable adjustments for online learning.
During the Course
Learners may request additional support at any point during their studies if their circumstances change or additional needs arise.

7. Confidentiality

Information relating to disabilities or additional learning needs will:

Be treated confidentially.
Be handled in accordance with applicable data protection legislation.
Only be shared with relevant personnel where necessary to implement agreed online learning adjustments.
Not be disclosed without the learner's consent unless required by law.

8. Responsibilities

Learners are encouraged to:

Inform GIP of any accessibility requirements as early as possible.
Provide relevant information where appropriate to assist in determining suitable online adjustments.
Notify GIP if their learning needs change during the course.

GIP Staff

Staff involved in programme delivery are responsible for:

Maintaining an inclusive online learning environment.
Respecting learner confidentiality.
Implementing agreed reasonable adjustments where practicable.
Monitoring the effectiveness of online accessibility arrangements.

9. Limitations of Support

As GIP delivers training exclusively through online platforms, our reasonable adjustments relate solely to digital learning, online assessments, electronic course materials, and virtual learner support.

GIP does not provide:

Physical classroom accommodations.
On-site personal assistance.
Mobility or transportation support.
Medical or personal care services.
Specialist therapeutic or healthcare services.

Where a learner requires specialist support beyond the scope of our online learning provision, we will work with the learner to identify practical adjustments within our digital learning environment wherever reasonably possible.
